Answer Line AI is an AI phone-answering and booking service for local businesses, operated by Softbuildsapps LLC of Salt Lake City, Utah ("Answer Line AI", "we", "us"). This policy explains what information we collect when businesses use Answer Line AI and when people call or text those businesses, how we use it, who we share it with, and the choices you have. Questions about this policy or your information can be sent through the contact page.
Account information. When a business creates an account we collect the owner's name, business name, email address and business details the owner configures (services, prices, service areas, hours, on-call contacts), and we store a securely hashed password (bcrypt). Team members added to an account are collected the same way.
Billing information. Subscriptions are paid through Stripe. Card details go directly to Stripe and are never stored on our servers. We keep the billing records Stripe shares with us (such as plan, status and the last digits of a card) to manage the subscription.
Caller information and call content. When Answer Line AI answers a call for a business, we collect the caller's phone number, the name and service details the caller provides during intake, an audio recording of the call, and a transcript. Calls are announced as recorded — see our Call Recording & AI Disclosure Notice. When live calling is not yet activated on an account, no calls are answered or recorded for that account.
Messages. Where texting is activated, we store text message threads between callers/customers and the business number, including photos a customer sends (for example, a picture of the equipment that needs service), which can be attached to that customer's job record. We also record messaging opt-outs so they are honored.
Your business data. To run the service we store the information the business configures and generates: job and booking records, call history, follow-up sequences, monthly reports, and integration settings.
Connected-account data (only if you connect it). If a business connects Google Calendar, we receive calendar availability (free/busy) and create booking events as described in Section 2. If a business connects Microsoft Outlook, Jobber, ServiceTitan or Housecall Pro, we receive the schedule and job data needed for the connected feature, under the business's own authorization. Connection tokens are stored on our servers and are never returned through the app.
Website lead forms. If you submit one of our website forms (pilot application, calculator, webinar, partner or contact), we store what you submit so we can respond to your inquiry and run the process you asked for.
Technical information. We keep standard server logs (such as IP address, browser type and timestamps) to operate and secure the service.
Answer Line AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
A business's recordings and transcripts are visible to that business's account. Platform operations may access them for quality review, support and safety as described here and in the Data Processing Addendum.
We do not sell personal information. We share information only with the service providers that operate Answer Line AI, and only as needed for the features an account has activated:
We may also disclose information if required by law, or to protect the rights, safety and security of our users and the service.
Answer Line AI uses essential cookies and browser local storage only — primarily to keep you signed in and to remember session preferences. We do not use advertising cookies or cross-site tracking cookies.
Call recordings are retained for 13 months by default; the business controls the retention period for its own account and can set a different period or request earlier deletion. Transcripts, job records and message threads are kept while the account is active. After cancellation, we retain account data for a reasonable period to complete billing, meet legal and accounting obligations, and allow reactivation, after which it is deleted or anonymized. Lead-form records are kept while you are an active prospect or customer. You may request earlier deletion as described below.
Account holders may request access to, correction of, or deletion of their personal information at any time through the contact page. We will respond within a reasonable time and verify identity against the account before acting. Deleting an account removes its business workspaces and stored credentials, including any connection tokens.
If you are a caller or customer of a business that uses Answer Line AI, that business controls your call and job records. You may contact the business directly, or contact us and we will route your request to the business and assist as described in the Data Processing Addendum.
We protect information with encryption in transit (HTTPS), bcrypt-hashed passwords, and server-side storage of third-party credentials and tokens that are never exposed through the app. Access to production systems is restricted. No system is perfectly secure, but we take commercially reasonable measures to protect your information.
Answer Line AI is a business phone service, not a HIPAA-covered platform. It is not designed to collect or store protected health information, and businesses must not use it for medical intake. Our law-firm configuration is for appointment intake only and does not create an attorney–client relationship.
Answer Line AI is a business service and is not directed at anyone under 18. We do not knowingly collect information from children.
If we change this policy in a material way, we will update this page and, where appropriate, notify account holders by email before the change takes effect. The effective date at the top of this page will reflect the latest version.
